This is the powerful Back Office to manage your CABA Tournaments and Leagues. Below are the Quick Reference to key features. CABA Tournament Director login information has been sent in an email – Feel free to contact us if you need additional help – 800-394-4930 ext 1. Thanks!

ADMIN GOLD BACK OFFICE = Manage Registration, Schedules, Scores/Standings, Communication, Fields, Payment Tracking, etc.

CREATE/UPDATE TOURNAMENT INFORMATION

• Update Tournament General Information (will show on the website and registration page): Include compelling description, top selling points that will bring teams around the country to attend. Include format, e.g., 3 Game Guarantee (Weather Permitting), Pool Winners advance to Single Elimination Playoffs, Coaches Meeting, Opening Ceremonies, Video Streaming, Photo / Media Coverage, etc.
• Pencil Icon is general information about the Tournament and the Blue Button has all the individual levels / date detailed information

PUBLISH ON WEBSITE – EVENT, TEAMS, SCHEDULE, STANDINGS, BRACKETS

• Access the Tournament (above) and click the Blue Button – The PUBLISH box is towards the bottom of the level. Check each box and Click Update to publish the info on the website:
  • Event will be listed and teams can register/request invite
  • Teams will be listed along with their Roster
  • Standings will appear after scores are recorded for those Teams assigned a Division/Pool
  • Schedule allows for Coaches to review in their Coaches Dugout and then when ready, can publish for everyone on the website
  • Brackets will display the uploaded PDF bracket file – use the Official CABA Brackets excel file and save as a PDF

REGISTER TEAMS — TWO OPTIONS

• OPT 1) TEAMS REGISTER DIRECTLY – RECOMMENDED – Have Teams to register “Request To Play” from the CABA World Series website
• OPT 2) YOU REGISTER TEAMS within the ADMIN Gold:
  • Click the Register Admin Reg Button and Search for existing coaches email to ensure not creating duplicate teams. If not found, then create team. Register in desired event and submit
  • APPROVE TEAMS in Pending Reg – email icon will send email sharing they have been approved & other info.    

ASSIGN TEAM DIVISIONS/POOLS

• Click on Teams and then Add/Assign Division to each team – Note: Standings will show with the teams assigned

LOAD/UPDATE BASEBALL FIELDS

• Baseball Fields – will show on website and when scheduling games

CREATE GAME SCHEDULE

• Create a game at the top and either click check or check with an email to send the Coaches and Umpire Coordinator
  
• TIP:  Create a blank Schedule with all your Fields / Times and then later assign Teams to the games – Can setup one day as a template and then Copy to the different dates and edit as needed
• Save Day’s Changes Options: Save, Save with Sending Email to the Coaches and Umpire Coordinator, Save and email Umpire Coordinator only
• Send Email Reminder to all coaches for the date
• Optional Color Code is available to track status of games, e.g., Green = Field & Umpired Confirmed, Yellow = Pending Follow-up, Red = Need to Cancel/Notify
• SCHEDULE REPORTS are your best friend! Easily triple check number of Games by Team, view/save Master Schedule / Games by Field as a pdf to send to umpire coordinator and/or field manager before publishing to public and/or for records, etc.

UPDATE SCORES – Will automatically update Standings 

• Coaches can submit scores through their Coaches Dugout, which will disappear so they can’t tweak later
• You can update scores and use the filter to select those missing scores, particular team or day, etc.

COMMUNICATION CENTER – Extremely Powerful 

• Send emails to those coaches registered for an event and use the filters to help narrow type of communication. Can send One Email Per Team with the Team’s status OR One Email Per Coach for general information
• Tip: Can personalize the email and info embedded by using the {samplefield} – click Edit Letter Template for what the email will look like.
• Tip: Create/Edit Letter Templates to save standard emails for future
• Note: Coaches may need to check spam/junk folders for email

   Video Overview gives a good basic overview and should note that there are enhancements to scheduling and other modules not shown.
